## **The Role**
The Project Coordinator supports the successful implementation of donor-funded projects by coordinating day-to-day project activities, facilitating communication among internal and external stakeholders, and helping maintain project schedules, budgets, documentation, and compliance requirements.
Reporting to the Senior Project Manager, you'll work with project teams, consultants, partners, donors, and colleagues across multiple regions. Your work will help keep projects organized, ensure information flows effectively, and provide project teams with the coordination support they need to achieve successful outcomes.
## **What You Will Do**
### **Coordinate Project Delivery**
You'll help keep projects moving by coordinating day-to-day activities and supporting collaboration across diverse teams and stakeholders. Your responsibilities will include:
- Coordinating project activities and maintaining effective communication among project staff, consultants, partners, and donors.
- Maintaining project work plans and schedules while tracking progress toward key milestones.
- Identifying implementation risks and communicating significant issues to the Senior Project Manager.
- Tracking follow-up actions to help ensure commitments are completed and project teams remain informed.
### **Support Meetings and Stakeholder Engagement**
Strong coordination depends on effective communication. You'll help organize and support a variety of collaborative activities by:
- Coordinating meetings, workshops, webinars, and stakeholder consultations.
- Preparing agendas and supporting meeting logistics.
- Recording meeting minutes and documenting action items.
- Helping ensure participants receive timely information before and after meetings.
### **Support Grant Administration and Financial Coordination**
Working closely with the Finance team and project leadership, you'll contribute to the operational administration of donor-funded projects by:
- Assisting with monitoring project expenditures and preparing financial information.
- Supporting project forecasting activities.
- Assisting with invoice processing, consultant payments, and procurement documentation.
- Helping ensure project activities comply with donor requirements, contractual obligations, and organizational policies.
### **Maintain Project Documentation and Reporting**
Accurate documentation is essential to successful project management. In this role, you'll:
- Maintain comprehensive project documentation and donor-specific filing systems.
- Help ensure project records remain organized and audit-ready.
- Coordinate the collection and organization of project performance data.
- Support the preparation and timely submission of donor reports.
- Contribute to improving project coordination tools, templates, documentation, and operational processes.

## **What You Bring**
### **Required Experience and Skills**
- Two or more years of experience in project coordination, project administration, grant management, nonprofit operations, or a related field.
- Excellent organizational and time management skills.
- Strong attention to detail and the ability to manage multiple priorities simultaneously.
- Ability to work independently and manage responsibilities effectively in a fully remote environment.
- Experience using project management software such as Smartsheet, Asana, Monday.com, Microsoft Project, Jira, or similar platforms.
- Experience using collaboration tools such as Slack or Microsoft Teams.
- Strong proficiency with Microsoft Office applications, email, and virtual meeting platforms.
- Comfort working with colleagues across cultures and time zones in a global remote environment.
### **Language Qualifications**
- Native or professional working proficiency in Spanish required.
- Excellent written and verbal communication skills in English required.
- Strong professional proficiency in French desired.
### **Education**
- Bachelor's degree in project management, international development, environmental science, public administration, business administration, or a related field, or equivalent work experience required
- CAPM or higher-level project management certification preferred.
