About the role
EcoSource Janitorial is a US-based commercial cleaning company operating across Massachusetts and southern New Hampshire. We're hiring a full-time remote Operations Support Specialist to own the day-to-day accuracy of our time tracking, CRM, and reporting.
This is not a call-center or data-entry role. You will be the person leadership relies on to make sure our numbers are right before they're used to pay people and make decisions.
Schedule: Monday–Friday, 9:00 AM – 5:00 PM US Eastern Time. Full-time (40 hrs/week). you must be available live during US business hours EST
Compensation: $8.00 - $9.00 USD/hour (~$1,386 USD/month), paid as an independent contractor. Reviewed at 90 days with an increase based on performance.
What you'll do
- Time & attendance accuracy — Review daily punch-in/punch-out data in our time tracking system, identify missed punches, overlaps, and anomalies, and correct or escalate them before payroll cutoff.
- Payroll support — Reconcile approved hours between our time tracking system and payroll system each pay period. Flag discrepancies before they become paychecks.
- CRM management — Maintain data accuracy in our CRM: update records, clean duplicates, log activity, and keep pipelines current.
- Weekly reporting — Build and deliver a recurring weekly operations report in Google Sheets. Own the process end to end: pull, clean, format, deliver on schedule.
- Field team support — Be the first point of contact for staff questions about hours, time off, and pay discrepancies. Research, resolve, or escalate with a clear summary.
- Recruiting support — Post job openings, source candidates, run initial phone/text screens, and keep the applicant tracker updated.
Required
- 2+ years supporting a US-based company in an operations, admin, or reporting role
- Advanced Google Sheets — you're comfortable with filters, pivot tables, VLOOKUP/XLOOKUP, IF logic, and conditional formatting without being walked through it
- Demonstrated experience building recurring reports from raw data
- Strong written and spoken English (this role communicates directly with US staff and management)
- Reliable high-speed internet, a functioning computer, and a quiet workspace
- High attention to detail and the discipline to catch your own errors before someone else does
- Ability to handle confidential payroll and employee information appropriately
Preferred
- Experience with time tracking or payroll platforms (Chronotek, Paychex, ADP, Gusto, When I Work, etc.)
- Experience administering a CRM
- Experience sourcing and pre-screening candidates
- Experience in a field-services business (cleaning, landscaping, HVAC, pest, pool, security)
What we're looking for
Tech-savvy and self-teaching. We use multiple platforms and will add more. If we hand you a new tool, we expect you to figure out 80% of it on your own and come back with specific questions on the other 20%. If you need step-by-step instructions to learn new software, this isn't the right fit.
