Positions : Executive Assistant
Based in Latin America (e.g., Mexico, Colombia, Costa Rica, Argentina)
Must have reliable high-speed internet and a professional remote working environment
Required to work primarily aligned to U.S. business hours
Responsibilities:
- Manage complex executive calendars across multiple time zones, ensuring alignment to business priorities and minimizing conflicts
- Coordinate and execute executive engagements (internal and customer-facing), including scheduling, logistics, agendas, materials, and follow-through
- Support executive involvement in strategic accounts, pipeline reviews, and deal progression activities
- Prepare high-quality communications, presentations, and briefing materials for internal and external stakeholders
- Coordinate domestic and international travel, including itineraries and expense reporting
- Track and drive follow-ups from executive meetings, ensuring accountability and timely execution
- Serve as a liaison across internal teams, partners, and customers, maintaining professionalism and responsiveness
- Proactively leverage AI and automation tools (e.g., Microsoft Copilot) to streamline workflows and improve executive productivity
- Maintain strict confidentiality and handle sensitive information with discretion
- Make independent decisions on scheduling, prioritization, and coordination on behalf of executives
Operating Expectations
- Operate with urgency and sound judgment in a high-velocity, global environment
- Align working hours to U.S. time zones (primarily Central/Eastern) to ensure real-time executive support
- Anticipate executive needs vs. react to requests
- Prioritize ruthlessly—protect executive time for highest ROI activities
- Act as an extension of the executive in communications and coordination
- Drive follow-through on key actions, not just document them
Qualifications:
- 5+ years of experience supporting senior executives in fast-paced, global organizations
- Advanced English proficiency (written and verbal) required; ability to operate seamlessly with U.S.-based executives
- Proven ability to manage ambiguity, prioritize effectively, and drive execution without constant direction
- Experience supporting sales, commercial, or customer-facing organizations preferred
- Strong proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Teams) and collaboration tools
- Demonstrated experience working across multiple time zones and cultures
- High level of professionalism, discretion, and executive presence
- Selected applicant will be subject to a background investigation, which will be conducted and the results of which will be used in compliance with applicable law.

Contract length: 12 months
Pay: $9.90 - $40.71 per hour
