Business Need / Purpose of Role
The Operations Representative reporting to Operations Manager is responsible for providing logistics service to our Principals to ensure the safe and smooth turnaround of all appointed vessels within the jurisdiction of the port office, managing vessel requirements, procurement of relevant vendor services, and undertaking vessel boarding as required. Boarding Agent: Goes to the ship to provide assistance //Ship Operator: Provides support without needing to go to the ship. The Senior Operations Representative performs office and non-manual work assisting Inchcape in the running and servicing Inchcape’s 24-hours-a-day, 7-days-a-week on-call services commitments to its Principals.
Objectives & Measurement – Key Responsibilities

To coordinate and assist the vessels with inward/outward clearance providing all necessary husbandry assistance to the Master and Principal ensuring fast efficient and smooth turnaround in port.
- Provide Operational and Service Delivery Excellence to make Inchcape the vendor’s choice to customers in the port.
- Manage and distribute workload, annual leave within the Port Office team ensuring effective management, also including Performance Evaluation Appraisals for direct reports. Drive and direct daily port operational meetings.
- Monitor and drive vessel’s operations in accordance with Inchcape policies and procedures so that all relevant requirements are fulfilled in delivery a high-level quality service that meets the principal’s needs. Ensuring all staff are managing tasks in accordance with Inchcape QA requirements.
- Identify and report new growth opportunities and ensure that these are developed in association with regional and group functions. Develop a close and communicative relationship with all Inchcape principals, especially those which have or potentially may have activities with the respective Port Office
- Ensure that Port Office is processing inward and outward clearances of all vessels and in compliance with laws and regulations as set down by Government, such as Immigration and Port Authorities. Assisting and educating staff in all areas of shipping documentation where necessary.
- Performing all the arrangements in close coordination with head office for crew changes, medical cases and crew shore passes as per vessel/principal’s requirements in order to accomplish fast and cost-effective turnaround of vessels.
- Ensure strict compliance to all relevant safety, quality and environmental procedures in accordance with Inchcape Quality Management System and Inchcape Health and Safety Environment Policies and Procedures to deliver high quality services to the customers.
- Manage local overhead and commercial budget at the port, and generate and monitor port commercial budget and forecasts as per schedule.
Monitor Ports data integrity and performance through YourISS2 whiteboard and perform accurate and timely updates of YourISS2 and other systems in order to meet principals’ requirements and key performance indicators set by the company and principal. Identify and implement local training requirements.
- Ensure daily preparation and submission of vessel movement reports to the head office, as well as meeting weekly and monthly reporting requirements. Continuous improvement on operational systems and processes.
- Ensure that pro-forma prefunding requests have been forwarded to the Principal prior to vessel arrival, and that all operators are working to OK to sail requirements. Ensure that a checklist is maintained attesting the funding situation. Compliance with all financial aspects and requirements of a vessel appointment.

Establish and maintain relationship with principals, relevant government departments and agencies, local authorities and service providers to exchange information and views to ensure that the company is providing the appropriate range and quality of services.
- Drive and deliver a positive customer experience at all opportunities to both internal and external stakeholders whilst ensuring compliance with regulatory and principal requirements.
Knowledge, Skills, and Abilities:

A foundational knowledge of Port Operations.
- Competent user of the Microsoft Office suite including Outlook, Excel and Word.
- Being able to communicate in writing clearly and concisely.
- Balance multiple tasks, changing priorities & operate within a deadline-oriented environment.
- Direct experience of vessel operations.
- Commercial acumen
Education, Qualifications, Certifications, and Licenses
Education/Experience:
- Bachelor's degree – Maritime Institutions or Academies degrees is preferred.
- 2+ years of experience in general maritime industry with exposure to various commodities and vessel types utilized in the port of employment.
Licenses:
- Agents are expected to travel around specific port/terminal locations and surrounding areas and must possess their own reliable transportation, a valid "non-expired" state drivers' license, and vehicle insurance coverage.
