Summary
The Project & Event Specialist is the operational backbone of the marketing team, ensuring that campaigns, content, and initiatives move from strategy to execution without losing momentum or quality. Reporting to the VP of Product Marketing and working in close coordination with the Senior Marketing Manager, Growth Marketing Director, and Marketing Operations Director, this role owns the logistics, coordination, and quality assurance that keep a high-output marketing team running at pace.
Roles & Responsibilities
- Own campaign asset tracking, task assignment, and deadline management in Asana across all marketing initiatives
- Maintain and iterate project templates to support repeatable campaign execution
- Serve as primary coordination point for campaign asset requests, routing to appropriate teams and tracking to completion
- Support product launch and press release project management from kickoff through publishing
- Manage campaign-based social media scheduling, UTM creation, and repeat post cadence in coordination with the content team
- Manage G2 review campaigns and quarterly badge updates across website, email signatures, and landing pages
- Maintain per-content-type checklists and requirements documentation to ensure consistent quality across all marketing output
- Serve as a QA checkpoint on campaign assets prior to publication, flagging gaps against established standards
- Work with the Senior Marketing Manager to evolve QA standards as new content types and channels are introduced
- Coordinate website update requests with the SEO and WordPress development team, ensuring work is scoped, prioritized, and executed effectively
- Monitor progress of external contributors/vendors — including SEO, video, and website development contractors — and hold them accountable to deadlines, deliverables, and budgets
- Escalate prioritization decisions to the appropriate owner while maintaining forward momentum on execution
- Support email nurture and recycle campaigns, coordinating asset selection and sequencing with the Senior Marketing Manager and Marketing Ops
- Manage video production coordination: scripts, visuals, production timelines, revisions, and publishing to Wistia and YouTube
- Support the Senior Marketing Manager on acquisition and customer marketing initiatives, webinar logistics, and virtual event production
- Serve as the primary logistics coordinator for tradeshow execution, working closely with the Events and Webinars Marketing Manager
- Coordinate webinar requirements on behalf of the Events and Webinars Marketing Manager and Senior Marketing Manager
- Manage tradeshow shipping, materials, and vendor coordination
- Perform list management, uploads, and pre/post-show campaign support
- Coordinate Asana task tracking and deadline management for all event activity
- Track and report on campaign asset completion and project status for Senior Marketing Manager and PMD visibility
- Support data hygiene and list management in coordination with Marketing Ops
