U.S.-Based Moving & Storage Company | Fully Remote
Schedule: Tuesday–Saturday, 5:30 AM–4:00 PM Eastern Time
Compensation: $6.50–$8.50 USD/hour, based on experience
We are looking for a highly organized, detail-oriented Operations & Dispatch Assistant to support the daily operations of a growing U.S.-based moving and storage company.
This is primarily a data entry, monitoring, scheduling, and communication role. You will work closely with our Operations Managers and Operations Leads to make sure information is accurate, schedules are properly built, compliance requirements are being followed, and potential problems are identified before they become bigger issues.
For someone who demonstrates excellent judgment, reliability, and problem-solving ability, there is significant opportunity to grow into a larger operational role.
What You'll Do
Your responsibilities will include:
- Assist with payroll tracking and data entry, ensuring employee time and related information is accurate.
- Monitor DOT Hours of Service (HOS) and driver compliance.
- Review driver activity for items such as breaks, gas station stops, and other time or payroll adjustments.
- Assist with building and maintaining the daily operations schedule.
- Help assign the appropriate trucks, movers, drivers, and equipment to each job.
- Identify scheduling conflicts, missing information, compliance concerns, or other operational issues and communicate them to the appropriate manager.
- Answer routine operational questions and help team members find the information they need.
- Communicate with movers, drivers, vendors, and customers by phone when necessary.
- Maintain accurate information across multiple systems and calendars.
- Complete recurring administrative and data-entry tasks accurately and on time.
- Communicate primarily through Slack and other written channels.
- Support Operations Managers and Operations Leads with additional administrative and operational tasks as needed.
You'll Be Great at This If You...
- Speak fluent English and are comfortable having occasional phone conversations with U.S.-based employees and vendors.
- Have excellent written English communication skills.
- Are extremely detail-oriented and notice when numbers, schedules, or information don't make sense.
- Have experience managing multiple calendars, schedules, or resources simultaneously.
- Can manage several tasks and priorities without losing track of details.
- Have excellent problem-solving skills and are willing to investigate an issue rather than simply passing it along.
- Are technologically savvy and comfortable learning new software quickly.
- Are dependable and consistent. Operations depends on having accurate information at the right time.
- Are comfortable working independently while knowing when something needs to be escalated.
- Enjoy structured, detail-heavy work involving schedules, spreadsheets, systems, and data.
Experience We'd Love to See
Experience in logistics, transportation, dispatching, moving, or home services is strongly preferred.
We're particularly interested in candidates who have worked in an environment where multiple crews, vehicles, technicians, or field employees must be scheduled and coordinated throughout the day.
Experience with Slack, Smart Moving, payroll/timekeeping systems, CRM platforms, or DOT Hours of Service is helpful but not required if you are a strong technology learner.
Schedule
This position requires consistent availability:
Tuesday–Saturday
5:30 AM–4:00 PM U.S. Eastern Time
Because this position directly supports daily operations, reliable attendance and punctuality are essential.
Growth Opportunity
We are looking for more than someone who simply enters data.
The strongest person in this position will gradually learn how our entire operation works, begin anticipating what the Operations Managers need, recognize problems before being asked to look for them, and take ownership of increasingly important responsibilities.
A high performer can grow into becoming a true right hand to our Operations Managers and Operations Leads, with increased responsibility and compensation as their capabilities develop.
