About the Role
We're looking for an Automation Specialist to build, maintain, and improve practical automation workflows across CRM, messaging, lead handling, and internal operations.
This role is for someone who can work hands-on inside systems like HubSpot, Zapier, ManyChat, Claude, and AskElephant to turn repetitive or messy business processes into clean, reliable workflows.
The right person is not just familiar with tools in theory. You should be able to understand an operational need, map the workflow, build the logic, test it properly, document it clearly, and maintain it reliably.
This is a practical implementation role at the intersection of CRM operations, AI-assisted workflows, automation logic, process design, and execution discipline.
Key Responsibilities
- Build and maintain workflow automations across HubSpot, Zapier, ManyChat, and connected systems.
- Configure and optimize HubSpot assets: contacts, companies, deals, custom properties, pipelines, lifecycle stages, forms, meeting schedulers, inboxes, lead-routing logic, lists, workflow triggers, and reporting views.
- Design and maintain Zapier-based automations connecting CRM, forms, messaging tools, spreadsheets, task systems, and internal workflows.
- Build and improve ManyChat flows for lead capture, qualification, routing, follow-up, reminders, and customer communication.
- Use Claude and other AI tools for process documentation, prompt-driven workflow support, structured drafting, QA assistance, and operational productivity.
- Learn and operationalize AskElephant workflows for sales, CRM, call, or communication intelligence.
- Translate business requirements into clean automation logic, practical user flows, and usable process documentation.
- Audit broken, duplicated, or inefficient workflows and improve them with stronger logic, better testing, and clearer ownership.
- Support lead-management and follow-up automations, especially where CRM, chat, and operations workflows overlap.
- Create SOPs, setup notes, testing checklists, and handoff documents so workflows can be maintained reliably.
- Troubleshoot workflow failures, sync errors, logic conflicts, broken triggers, data inconsistencies, and messaging issues.
- Coordinate with leadership and operations teams to prioritize automation work and report progress clearly.
Requirements
- Hands-on experience with HubSpot and real workflow configuration inside a CRM environment.
- Strong practical experience with Zapier or a similar no-code/low-code automation tool.
- Experience building or managing chatbot/conversational automation flows, ideally in ManyChat or similar.
- Strong comfort using AI tools such as Claude in structured business workflows (not just casual prompting).
- Ability to think in workflows: triggers, logic branches, actions, edge cases, exceptions, testing, and failure handling.
- Strong spreadsheet skills for imports, exports, QA, logic checking, mapping, and reporting support.
- Strong attention to detail and a habit of testing work before handoff.
- Excellent written and spoken English.
- Based in Latin America with availability to overlap with team hours.
- Ability to work independently, maintain momentum, and handle recurring execution work without constant follow-up.
- Ability to explain workflows clearly to non-technical stakeholders.
Preferred
- Experience with AskElephant or similar AI sales/conversation intelligence platforms.
- Experience supporting lead generation, lead routing, CRM cleanup, or sales/marketing operations.
- Exposure to APIs, webhooks, integration logic, or structured middleware setups.
- HubSpot certification or equivalent real-world CRM implementation depth.
- Experience supporting multiple brands, clients, or business units.
- Experience documenting systems clearly for handoff and repeatability.
- Familiarity with ClickUp or other structured project-management systems.
- Spanish fluency (for coordination with LATAM teams).

What Success Looks Like
First 30 Days:
- Understand Epirco's operating environment, workflow expectations, and core CRM/messaging processes.
- Audit existing automation opportunities and identify the highest-priority fixes or builds.
- Take ownership of at least one live workflow area and improve reliability, documentation, or speed.
First 60 Days:
- Independently build and maintain production-ready automations across HubSpot, Zapier, and messaging workflows.
- Improve lead handling, follow-up logic, or reporting visibility through better workflow design.
- Demonstrate strong execution discipline in testing, documentation, and issue resolution.
First 90 Days:
- Become the go-to operator for day-to-day AI and automation workflow execution.
- Own multiple reliable workflows with minimal supervision.
- Deliver measurable improvements in workflow consistency, response speed, lead handling, or operational efficiency.

- People who have used HubSpot lightly but never owned real workflow logic.
- Anyone who cannot explain how they test and maintain automations after launch.
