Our client is an established warehouse brokerage company specializing in connecting carriers, brokers, and shippers with reliable service providers for rework, cross-docking, warehousing, and transloading.
Due to rapid company growth and increasing demand, they are looking to move quickly in filling this role, with an expedited hiring process for qualified candidates.
Role Overview
We are looking for an Executive Operations Coordinator to work directly alongside the CEO. This is not a traditional administrative role. The successful candidate will take full ownership of assigned initiatives across operations, vendor management, and marketing, operating with a high degree of autonomy and sound judgment.
This role requires someone who can distinguish between what is urgent and what is important, reprioritize as circumstances shift, and maintain composure and accuracy under sustained pressure.
The ideal candidate is a proactive problem-solver who arrives with solutions rather than problems. Issues are expected to be researched, resolved, and only escalated when a decision genuinely requires executive input.
Key Responsibilities
- Manage and track the CEO's task pipeline, ensuring deadlines and deliverables are met
- Triage incoming requests and priorities in a high-volume environment, escalating only when executive input is required
- Serve as the primary point of contact for vendors, including negotiations, follow-up, and relationship management
- Coordinate and schedule vendor payments; maintain accurate records of outgoing transactions
- Oversee calendar management, meeting preparation, and executive correspondence
- Take ownership of cross-functional projects spanning marketing, web, and operations (SEO, website updates, research, systems administration)
- Independently identify, troubleshoot, and resolve operational obstacles as they arise
Required Qualifications (Non-Negotiable)
- Minimum 2 years of experience supporting an executive, founder, or small business in an operations or administrative capacity.
- English proficiency at B2 level minimum (C1 strongly preferred). The interview will be conducted entirely in English.
- Residence in Buenos Aires (CABA) or the surrounding metropolitan area. While the position is remote, occasional on-site attendance is required
Technical Skills
- Proficiency in Microsoft Excel and Google Sheets
- Experience with CRM platforms (HubSpot strongly preferred)
- Familiarity with payment and expense management platforms (Ramp, Wise, Payoneer, or comparable)
- Proficiency with Google Workspace, particularly Google Calendar
- Experience with project management tools (Asana, Trello, ClickUp, or comparable)
- Proficiency with AI tools and a willingness to leverage them to execute unfamiliar tasks efficiently

- Operates independently. Accepts direction, executes without supervision, and follows through to completion.
- Learns new tools and technologies rapidly. If assigned an unfamiliar platform, we expect meaningful progress within days, not weeks.
- Exercises discretion and sound judgment when handling confidential business and financial information
- Communicates concisely and efficiently. Escalations should arrive as a proposed decision the CEO can confirm or redirect, not an open-ended question.
- Reliable, detail-oriented, and accountable for outcomes
- Occasional availability outside standard hours for urgent matters, including weekends. Regular weekend work is not expected, but the CEO works weekends and urgent situations could arise.
Preferred Qualifications
- Prior experience supporting a CEO, founder, or senior executive in a fast-paced operational industry.
- Prior experience supporting US-based founders or executives. Familiarity with American communication and business norms is a strong plus.
Compensation & Terms
- $1,000–$1,300 USD per month
- Independent contractor role
- 35 hours per week, Monday through Friday, 10:00 AM – 6:00 PM EST
- 10 days paid time off and 5 sick days annually
- Remote, with occasional on-site requirements in CABA
