The Role
We are seeking an organized, detail-oriented Correspondence Specialist who excels at managing official communications and is passionate about advocating for people facing crisis.
You'll work from home. You'll need a quiet space, fast internet, and the discipline to stay on task without close supervision.
Your primary focus will be managing all official correspondence received from government entities and other stakeholders. You'll review scanned mail and email daily, follow detailed handling instructions to determine the right action for each item, update internal systems and calendars, and notify the right people and clients on time. This is an absolutely vital function at the firm, and it must be handled with exceptional care and professionalism. Attention to detail is everything.
You must be flexible: the nature of your tasks may change daily or over time, with you stepping up to do whatever is needed to give clients the best experience possible. Policies and procedures will change frequently, as we're a fast-growing company constantly experimenting to optimize our delivery of services.
To be clear, the work is at times intense: we're doing important, in some cases life-or-death, work for clients on compressed timelines, and we're serious about promoting a culture of excellence in all that we do. What You'll Do
Your day-to-day responsibilities will vary based on the firm's needs, but will include a combination of the following:
Mail & Correspondence Management

Review and manage scanned mail and email correspondence daily.

Apply firm-specific handling instructions to determine the appropriate course of action for each item.

Notify relevant personnel about important or time-sensitive correspondence.

Ensure all mail processing is completed according to the firm's procedures and protocols.
Calendar & System Updates

Update internal calendars by adding events and deadlines based on correspondence.

Send timely email notifications to clients and personnel regarding updates and deadlines.

Ensure all information is entered accurately into internal systems to avoid missed deadlines.
Communication & Coordination

Serve as the primary point of contact for correspondence-related inquiries within the firm.

Collaborate with other departments by providing timely notifications and updates.

Ensure smooth, clear communication around mail processing to support operational needs.
Administrative Support
-
Provide cross-departmental support to assist other teams with projects or initiatives, as needed.

Support the creation and enhancement of company protocols and processes.

This position offers a monthly gross salary of USD 1,300, commensurate with experience and qualifications.
